GENERAL SALE MEETING MINUTES

November 10, 2007; 1:00 p.m.
Good Shepherd Community Church, Sioux Falls, SD

Melvin Koehn led devotions from Luke 18.  Melvin discussed the tax collector and Pharisee’s prayers and asked “What motivates our gratitude”?

 Secretary’s report:  The minutes from April 21 were approved as read.

 Treasurer’s report:  We reviewed the budget presented in the annual report.

 We discussed leaving the food costs out of the budget that we need to raise pre-sale.  Motion and seconded to approve the budget. Carried.

 Nominations:  Marilyn Penner (up for a one year term to finish out the position vacated by Terry Walter), Reed Schrag (up for finishing out 2 years of the position vacated by Marilyn Brockmueller), Steve Hopkins (up for his first 3-year term), Loretta Krahn (up for her 2nd 3-year term) and Maryann Harder (finishing a one-year term and up for her first 3-year term) were presented as nominees for board positions. Ida Gross moved to cease nominations and cast a unanimous ballot.  Peter Preheim seconded.  Carried.

 Annual report:  The annual reports are available today.  Please take one or more for your church.  Write the amount you’re taking beside your name on the sign-in sheet so we know who has a report and who still needs one.

 Church Representative job description:  Marilyn Brockmueller went over the job description and passed them out to the church reps that were present.  She will mail them to the ones who are not present today.  Pete commented that the church reps are a very important part of making the sale successful.  They are critical for getting information to constituents and creating excitement for the sale

 Sub-Committee Chair job description:  The job description will be given to the chairman by the board member who asks them to fill the position.

 Comments on the 2007 sale:  The one ring auction seemed to have almost all positive comments.  “We need to keep to one ring so we don’t split the money.”  “Loved what one ring did for the floor plan; opened it up.”  “We don’t have enough big ticket items to continue two rings.”  “We are losing Sioux Falls people because they don’t want to sit and watch the small items sell.”  “Friday night there were not many kids to bid on the children’s auction.”  “Should we have the kids’ auction on Saturday instead?”

 Food line accepted buyer’s numbers this year but we could encourage people to pay by cash or check instead to save on credit card expenses.  We increased from $13,000 to $20,000 in credit card sales from 2006 to 2007.

 We had many more theme baskets this year than we planned so we will need more space if we continue them.  The idea went over well and it would be good to continue them.

 Steve Hopkins was at the Kansas sale and was impressed with the corporate donations.  We should consider soliciting thing from businesses in the area such as: computers, lawn mowers, hot air balloon rides, etc.
